We are seeking an Administrative Assistant to provide high‑level support to the Director of Compliance within the Regulatory Services Division. This position is ideal for someone who is proactive, adaptable, and committed to excellence in administrative operations.

 

What You’ll Do:

  • Provide comprehensive systems support to the Director, including preparing correspondence, presentations, legal and confidential documents, briefing materials, and reports.
  • Manage the Director’s calendar, assess priorities, coordinate travel, and prepare expense claims.
  • Review Incident Reports for accuracy and completeness to support Hearings; flag any issues for the Director.
  • Prepare administrative sanction correspondence for management approval, ensuring timely delivery and tracking of outcomes.
  • Coordinate Action Requests, ensuring accuracy, adherence to guidelines, and timely submission to the Vice President’s office.

 

The successful candidate must have exemplary administrative skills, with ability to effectively coordinate and manage all deliverables within established timelines and to take initiative and be flexible and responsive to changing priorities. 

SKILLS & ABILITES

  • High school diploma plus a minimum of 3 years of progressive administrative experience, including at least 2 years supporting senior leaders. Experience in a public sector or regulated environment is an asset.
  • Advanced proficiency in Microsoft Office Suite along with SharePoint and Adobe Acrobat are required.
  • Office Administration Diploma is an asset.
  • Experience with ARTS (Action Request Tracking System) is an asset
  • Exceptional organizational and time management skills with the ability to manage competing priorities.
  • Strong interpersonal and communication skills.
  • Ability to handle confidential and sensitive information with discretion while anticipating needs, working under pressure and meeting tight deadlines.
